Shift tasks are the easiest way to distribute jobs across your team so it's clear what needs to be done during each shift. You can attach multiple tasks to a shift, and each task can have sub-tasks (or checklists) and a description.
Creating a task template
Before you can attach tasks to shifts, you need to create a task template. Please note that you can only create new task templates using the web version of Sling at this time.
Go to Tasks > Task templates and click Create template.
A window will appear where you will be able to add:
A title
A description (optional)
Sub-tasks (optional)
Attachments (optional)
Once you're happy with your template, click Create, which will appear in blue once all required fields are filled.
Once the task has been created, you'll be able to see it listed in your task templates tab. From here you can also see a summary of how many sub-tasks are included in the task, as well as the option dots that you're able to select to edit, copy, or delete the task template.
Attaching a task to a shift
You can add a task by clicking in the tasks field when creating or editing a shift. The tasks field will only be visible if the task icon is selected in the upper right of the shift modal, as highlighted below. Active fields will have an icon that displays in blue.
To add the task, click in the field, and choose a template to attach from the list or type the name in. You can also create a new task directly from the shift modal.
More than one task can be added to the same shift as well.
Once the shift has been saved or published, you can tell it has an assigned task from the task icon (checkmark in the lower left of the shift block) that is visible in the main schedule view.
Mobile app
Using the Sling mobile app, you can add a task template to a shift when creating a new shift.
After selecting to create a new shift, tap the tasks section.
You'll see the list of templates that have been created for the account. Select the one you'd like to include, and then be sure to tap Add in the upper right of the screen.
After you add the task, you'll be taken back to the new shift's main screen, where you can continue adding other details, or tap Save if you're done creating it.
Note: New tasks can't be created directly from the shift modal using the mobile app at this time.
Once the shift is saved, a task icon (a small check mark) will be visible from the main view of the calendar/shifts tab, and you'll be able to see task details by tapping on the shift.Β
From the Tasks tab of the mobile app, you can view all tasks that are assigned to employees for the date:
Shift task notifications
By default, all admins and managers who are assigned to the same location as the employee will receive notifications within their Dashboard regarding tasks. You can also select whether to receive those notifications via mobile push or email by adjusting your notification settings. If you only want certain managers to receive these alerts, then you can assign managers to an employee's profile. Check here for more information about how to assign managers.
The employee who is assigned to the shift that contains an attached task will receive a reminder to complete the assigned task list one hour before their task is due (near the end of their scheduled shift), and also at the end of their shift if they attempt to clock out and the task list has not yet been completed.
Similarly, managers will receive alerts near the end of a scheduled shift for an employee who has not yet completed the task, and once the task has been completed so that they can review the shift details if necessary.
As with other Dashboard notifications, clicking the notification will open the relevant task lists for review.
